Reports to:             Director of Advocacy and Action

Supervises:             Assistant Director of Creating Change Conference, Conference Coordinator, Conference Intern

Travel:                      Up to 40%

Position Summary:

The primary focus of this position is to manage the organization’s efforts to cultivate and secure financial support from corporations and foundations. As part of the Development department, the responsibilities of the position include cultivating, stewarding and ensuring deliverables are reported on for these funders. The position will also assist in garnering and fulfilling institutional sponsorships for the organization’s two Miami-based events: Winter Party Festival and the National LGBTQ Task Force Gala – Miami as well as for our annual conference, Creating Change. As a confidential employee, this position is exempt from the bargaining unit.

Responsibilities:

Oversee Creating Change Conference Strategy and Planning

  • In partnership with staff and stakeholders, establish a clear Creating Change Conference vision and objectives.
  • Pull from past conference experience to strategize with staff about programmatic and systems innovations that will continually improve the Creating Change Conference experience.
  • Oversee and manage the budget process for the annual creating change conference.
  • Oversee the annual Request for Proposals, registration, program & plenary, and awards selection processes, working with staff and key stakeholders.
  • Identify the specific levels of event support and capacity needed for each conference component and align on the scope of work (logistics, marketing, programming, etc.) that requires support.

Project Management and Execution

  • Create and execute strong project plans to divide responsibilities, establish clear decision-making and feedback loops.
  • Lead regular check-ins with staff and volunteer teams to ensure progress on event project plans.
  • Coordinate with vendors and execute on-site logistics for conferences, volunteer events, fundraiser/stewardship events, and other conference promotion events.
  • Conduct regular communications (phone calls, emails, meetings, funder reports, etc.) with all internal and external stakeholders (staff, vendors, partner teams, decision-makers, etc.).
  • Oversee the annual conference evaluation process, and any other needed assessments.

Operations, Communications, Marketing Responsibilities

  • Maintain accurate and up-to-date records, budgets, and attendee data to track event effectiveness.
  • Develop and maintain operational systems to manage complex projects and report progress to staff, funders and key stakeholders.
  • Participate in Task Force and external affairs-related activities, including staff meetings, professional development conferences and retreats, fundraising events, and other public relations opportunities.
  • Work with the Communications, Marketing and Branding Department to produce marketing collateral, printed materials, merchandise, videos, photos, emails, and social media to promote the conference and related events.
  • Other duties as assigned.

Qualifications:

The ideal candidate is an energetic, forward-thinking, and detailed oriented individual. Strong results orientation and interpersonal skills are a must. Additionally, possessing the capacity to think strategically coupled with the ability to excel operationally is critical for success in this role.

  • 6 or more years’ experience managing large-scale conferences (2,500+) or large events, with complex programming including virtual events.
  • Demonstrated experience in supervising teams of staff and volunteers.
  • Outstanding project management and organizational skills, and extraordinary attention to detail, able to prioritize and manage multiple projects effectively under deadline and work independently with consistent follow through.
  • Demonstrated ability to lead through a racial justice lens.
  • Ability to work in a fast-paced environment under tight deadlines.
  • Excellent writing and verbal communication skills.
  • Results-oriented team player dedicated to getting the job done.
  • Flexibility, professionalism, strong judgment and decision-making skills, tenacity, high-quality work, resourcefulness, teamwork, and a sense of humor.
  • Articulate, professional demeanor with strong self-confidence, initiative, and leadership skills.
  • Experience in non-profit/LGBTQ or related social justice movement a plus.
  • Unquestioned integrity and commitment to National LGBTQ Task Force mission.
  • Experience working in a multi-cultural and multi-racial environment where commitment to diversity based on race, ethnic origin, gender, age, physical ability, religion, sexual orientation, and gender identity and expression is an important institutional value; and ability to work cross-department to implement activities.
  • Mastery of Microsoft Excel, PowerPoint, Word, Outlook, Google Drive, Sharepoint, and comfort managing and tracking data strongly preferred.

Compensation and Benefits:
